Job Title: Club Administrator
Rotary Club: Rotary Club of La Crosse, Downtown
Reports to: Club President and Executive Committee

JOB SUMMARY

The Club Administrator will manage all aspects of the Rotary Club of La Crosse and is responsible for finances, club communication and correspondence, maintenance of all records, meeting coordination, serving as the club’s expert resource on Rotary International, providing Rotary Club of La Crosse Board support and undertaking general tasks that result in a well-functioning Club. This position may solicit support from Club members as appropriate.  In addition to the following functions and responsibilities, this position may perform other responsibilities as assigned by the Club President and Executive Committee.
 

PRIMARY FUNCTIONS AND RESPONSIBILITIES

  • Club Communication and Correspondence. Write and distribute a weekly club enewsletter, update the club website on a regular basis, provide social media oversight, forward special announcements and alerts to club members in a timely manner, processes member resignations, manage the club’s email and post office box and distribute accordingly. Updates forms and publications as needed. 
  • Meeting & Event Support. Coordinate all aspects of the weekly club meeting (not including soliciting speakers), work with venue on meal counts, special set up requests, assist in meeting set up as needed, club administration set up and take down, ensure adequate supplies and club equipment is functioning, be responsive to member inquiries, secure any collected money. Support additional club meetings and events as needed.
  • Club Finances. Manage all aspects of the club’s finances: payables, receivables, invoicing, deposits, financial statement preparation.  Notify Board of Directors of delinquent membership payments. Work with the incoming Board President to prepare an annual budget. Work with the Board Treasurer to review monthly financials. 
  • Board Support. Work with the Club President to set each meeting’s agenda and forward notices and materials. Record meeting and compile minutes of each Board meeting. Coordinate meeting location, solicit attendance, lunch counts, and participate in discussion as appropriate. 
  • Data and Record Management. Maintain member attendance records, enroll new members, record and forward member donations and pledges to Rotary International and Rotary Works, track weekly raffle drawings.
  • Rotary International. Fulfill all club reporting requirements to Rotary International, stay current on Rotary International requirements, best practices, emerging trends and resources.
  • Volunteer Management. Recruit, train, and support Club members who volunteer for tasks that support club administration. 

JOB QUALIFICATIONS

PREFERRED KNOWLEDGE, EXPERIENCE, AND COMPETENCIES: 
 
  • Knowledge of Rotary, Microsoft Office, QuickBooks (or other similar accounting software).  
  • Experience working with a membership organization and a board of directors.
  • Strong organizational and communication skills.
  • Ability to work independently and with a team.
  • Maintaining confidentiality and data security.
  • Comfortable learning new technology and incorporating into daily work.
  • Experience with meeting and event planning.
  • Attention to detail.
  • Bookkeeping and office management experience.
  • Must be able to work with a variety of personalities.
  • Approachable and patient.
  • Willing to work evenings and weekends.
  • Related Associate’s or Bachelor’s degree or commensurate work experience.

Rotary Club of La Crosse will provide a company computer, cellphone, and printer for the administrator’s use.   
 
Healthcare benefits are not included. 
 

WORKING HOURS and CONDITIONS

  • Full time salaried position exempt from overtime, flexing with workflow and club events.
  • Required workdays include: Thursdays 10:30 to 1:30, for weekly club meeting and the second Monday of each month from 10:00 to 1:00 for Board meetings. Evening and weekend hours required as needed by scheduled club events.
  • Home office with Internet connectivity and reliable transportation required. Most working hours are from a home office with travel required for weekly Club meetings, monthly Board meetings, club events and district conferences.
